For

South African companies needing an active SARS representative

The SARS Registered Representative (often called the public officer) is the person SARS holds legally responsible for a company's tax affairs. Until one is active on your profile, SARS won't process VAT or PAYE registrations, issue tax clearance, or let anyone manage the company on eFiling. It's the quiet blocker behind a huge number of 'why won't SARS let me…' problems.

Appointing or updating the representative means getting the RAV01 details right and passing SARS's verification, which can be slow and fiddly. Smartbook handles it for you: we prepare and submit the appointment, deal with SARS's checks, and confirm once your representative is active — so the rest of your tax admin can move.

When you need this

Appoint or update your representative when you:

  • Register a new company and need to activate its SARS profile
  • Are blocked from VAT, PAYE or tax clearance for lack of a representative
  • Have changed directors and the old representative is no longer involved
  • Can't access or manage the company on SARS eFiling
  • Took over a company whose SARS representative details are outdated

Common questions

What is a SARS Registered Representative?

It's the person SARS recognises as legally responsible for a company's tax affairs — historically called the public officer. SARS requires an active representative before it will process most registrations or allow eFiling management of the company.

Why is this blocking my other SARS registrations?

SARS won't process VAT, PAYE or tax clearance without an active Registered Representative on the company's profile. It's a common hidden reason applications get stuck, so we sort it first.

How long does it take?

Around 21 working days, largely because of SARS's verification process. We manage the back-and-forth and follow up so it doesn't stall.

Who can be the Registered Representative?

Usually a director or a person duly authorised to act for the company. They need a valid ID and proof of address, and SARS verifies them before activating the appointment.

Can you update it after a director change?

Yes. If your previous representative has left the business, we update SARS to the new authorised person so control of the company's tax profile stays with the right people.

Do I need this for a brand-new company?

Yes. A newly registered company needs its Registered Representative activated before you can do much at SARS, so it's usually the first tax step after registration.
